Privacy Policy
How Mazari Holdings LLC handles information when you use the Letter Decoder iPhone app, including the photos of letters you scan.
This policy covers the Letter Decoder app. It doesn't cover the Mazari Holdings company website, which has its own website privacy notice.
The short version
- To explain a letter, the app sends photos of the pages you scan to our servers, and we send them to our AI service provider, Anthropic, to read them.
- Page photos are deleted automatically after your scan is finished. The structured result we create from them is kept so you can reopen it from Your letters until you delete your account.
- If you buy credits, Apple processes the payment and RevenueCat helps us confirm it. We don't receive your card details.
- The app has no advertising and no third-party analytics or tracking tools. We don't sell your information.
- You can delete your account in the app at any time. We keep some purchase records, as explained below.
Information we collect
Photos of your documents
When you scan a letter, the app takes photos with your camera, up to eight pages, and uploads them to our servers. Before uploading, the app resizes each photo and saves it again as a JPEG. The app doesn't ask for access to your location or your photo library.
Letters can contain sensitive information about you or other people, such as names, addresses, account or case numbers, amounts owed, and details about taxes, immigration, legal, or family matters. We process whatever appears on the pages you choose to scan.
Results we create
From your photos, we produce a structured reading of the document: for example, its type, the dates, amounts, and steps it mentions, a plain-language explanation, and a preview. We also record each scan's status (for example, ready, unlocked, needs a retake, or not supported) and the language used.
App and device information
On first launch, the app creates a random identifier and stores it in your device's keychain. We receive that identifier with your device platform and app version, and we record when the app was last used and how many free previews have been used on that device. We don't collect your device's advertising identifier.
Sign in with Apple
If you sign in, Apple gives us a unique account identifier and an email address. If you use Apple's Hide My Email option, we receive a private relay address instead. The app doesn't ask for your name.
Purchases
If you buy credits, Apple processes the payment. We and our purchase service provider, RevenueCat, receive information about the transaction, such as the product, purchase and transaction identifiers, the date, and refund events, linked to your Letter Decoder account. We keep a record of credits added and used. We don't receive your payment card details.
Technical and security information
Our servers receive your IP address when the app connects. We use it for security and to prevent abuse, for example to limit how many requests can come from one address. Our hosting provider may also keep standard request logs.
Error reports
If the app or our servers run into an error, a diagnostic report may be sent to Sentry, our error-monitoring provider. These reports are configured to leave out your name, email address, identifiers, request contents, and document content, but no filter is perfect.
Messages to support
If you email us, we receive your email address and whatever you include. Please don't send photos of your letters.
How we use information
We use information to:
- read your pages and produce your preview and result;
- check photo quality and tell you when a page needs to be retaken or a document isn't supported;
- keep your results available in Your letters;
- manage your account, credits, purchases, refunds, and free-preview limits;
- keep the service secure, prevent abuse and double charges, and fix problems;
- respond to support requests; and
- meet legal, tax, and accounting obligations.
We don't use your information for advertising, and we don't sell it or share it for cross-context behavioral advertising.
AI processing
To read your document, we send your page images and our instructions to Anthropic, which provides the AI models that produce your result. We also send text taken from your document to Anthropic, for example to write the Spanish version of a summary. Anthropic processes this information to provide its service to us.
Anthropic handles this information under its own commercial terms and privacy policy, which describe how long it keeps information and how it may use it.

Who we share information with
We share information only as needed to run the app:

Apple, Anthropic, Amazon Web Services, RevenueCat, and Sentry also have their own privacy policies. We may disclose information if the law requires it, or to protect the rights and safety of our users, the public, or Mazari Holdings.
Mazari Holdings is based in the United States. Our servers and database are hosted with Render in the United States, and page photos are stored with Amazon Web Services in the United States. Our other service providers, including Anthropic, process information under their own terms and may do so in other locations.
How long we keep information
- Page photos. When a scan reaches a final state (for example, a result is ready, or the app asks for a retake), its photos are scheduled for deletion after a 24-hour safety window, and our cleanup process runs every hour. Photos are generally deleted within about a day after your scan finishes.
- Results and account records. Your results, scan history, and account records are kept until you delete your account.
- Purchase and credit records. Kept after account deletion, as described below, for accounting, tax, refund, and fraud-prevention purposes.
- Backups, logs, and error reports. Our providers keep database backups, logs, and error reports for limited periods. Deleted information can remain in them until they expire.
- Support email. Kept as long as needed to handle your request and for our business records.
Deleting your account
You can delete your account in the app. On the Home screen, tap the gear icon to open Settings, choose Delete account under Account, type DELETE, and choose Delete my account. This works whether or not you've signed in.
When you delete your account, we immediately:
- delete any page photos and generated documents that are still stored;
- delete your scans and results, your Sign in with Apple link and email address, your sign-in sessions, and your device records; and
- mark your account as deleted.
We keep records of purchases and credit transactions, with direct personal details removed, because we need them for accounting, tax, and refunds, and to prevent double charges. Information may also remain for a limited time in backups, logs, and error reports until they expire, and Apple and RevenueCat keep their own purchase records under their policies.
Unused credits are lost when you delete your account. Deleting the app from your phone doesn't delete your account. The app doesn't currently let you delete individual letters.
Your choices and rights
- You choose which pages to scan, and you can scan and preview without signing in.
- You can delete your account at any time in the app.
- You can contact us to ask about the information we hold about you. Depending on where you live, you may have rights to access, correct, or delete your information. We'll respond as required by applicable law.
Security
We use reasonable measures to protect information, including encrypted connections between the app and our servers, and we store your sign-in tokens in your device's keychain. No system is perfectly secure.
Changes and contact
If we change this policy, we'll post the updated version on this page with a new effective date. If we make material changes, such as using your information in a new way, we'll tell you in the app or on this page before the change takes effect.
